Out of school club

This section is only for primary aged children who attend Whickham Parochial Primary School. Preschool sessions run slightly differently to Out of School Club.

Generally preschool needs to be booked at least a term in advance so we can claim your funding for you. OSC can be booked from 7 days in advance.

To use the Breakfast and Afterschool Club facilities in the Preschool building you need to email us on [email protected] and we will take some details about your child (name, d.o.b.) and the email you would like us to use.

We do give priority to children currently using our Out of School Club and children leaving our preschool to attend Whickham Parochial Primary. If your child is coming to Whickham Parochial Primary from another nursery please get in touch with us around the end of June and we will let you know if we have any availability.

We will send you a link to EYLog and you will need to download the EYLog parent app to be able to make your own bookings.

Before we can take any bookings you will need to complete a registration form and add at least 3 emergency contacts.

Breakfast

7.45am to 8.50am = £6

*you can drop off up to 8.30am, but your child must arrive before 8.15am if they require breakfast.

After School Sessions.

3.15pm to  4.15pm = £6

3.15pm to 5.30pm = £10

3.15pm to 6pm = £12

After clubs which finish from 4.15pm:

4.15pm to 5.30pm = £7

4.15pm to 6pm = £9

*We collect  your child from school and bring them to the preschool building. Clubs all finish at different  times, we have one set rate for this as it would be impossible to have a different rate foreach slot.

To cancel any sessions you must email the preschool giving 7 days notice. You cannot cancel any sessions yourself using EYLog.

If you cancel a booking within 7 days you will still be charged for that session.

You must book any sessions you require 7 days before you need them or the system will not allow you to book. This is to ensure we have enough staffing and have enough food for everyone.

You will incur a £2 booking/admin fee per booking if we book any sessions within these 7 days.

We have limited places and we might have reached our limit of children  we are allowed in.

You can only book 31 days in advance, anything over this you will not be able to book. If you would like to guarantee a space is available for your child for the whole term on regular days please email us and we can do it for you. We will not charge for booking the whole term or year for you if they are the same regular sessions each week.

Yes, let school know you have signed up for Out of School Club, especially if your child is in reception or has SEND.

We send out a list of who has booked in for the week on a Monday, this allows the school to see who is coming form each class. So there is no need to tell school every day, just the once so they know they may be coming.

However, if you book within 7 days, your child will not be on the pre-printed register. It is then your responsibility to inform the school that your child will be coming.

It is also a good idea to remind your child each day that they will be coming over to after school club. Then they will know where to go at the end of each day and won’t go onto the school yard to wait for you. It can be time consuming for staff trying to find where some children are if they don’t arrive in the school hall at the end of the day.

Likewise, it is good practice to let Out of School Club know if you are collecting your child from school or if they are absent. We then won’t need to look for them at school.

We invoice you in arrears at the end of the month, we will give you a week to pay your bill.

Please pay your bill promptly as it takes us away from the children when we have to remind you about late payments.

We accept cash, bank transfer and vouchers. We no longer accept cheques.

Late payments of invoices will incur a £5 admin charge to cover the extra time needed to chase up payments.

We offer the children a light snack straight after school in case they are hungry and to put off any hunger until they get home.

Your child should have their full tea/dinner at home with you, as mealtimes are a great time for families to spend time together after a busy day.

We are aware of cultural, vegan / vegetarian needs as well as allergies. Please inform us on the registration form but make sure you ring us or email us to make doubly sure we fully understand your child’s needs.

We are a nut and latex free setting, we use olive or vegetable spreads rather than butter and always have a milk alternative.

No. We send you an accident report to inform you of any minor bump, fall or scrape your child may have had. If it was a serious accident we would telephone you.

All staff are first aid trained.

Yes, if they want to, we have quiet spaces to allow them to concentrate. However this is child’s choice, if they would prefer to play or do something else after a hard day at school that’s what they will do.

No. The children have access to all of the equipment and resources and choose themselves what they would like to do. We sometimes will suggest an activity if the children struggle to think of their own. We have craft supplies, table top games, gardening, outdoor play, construction and many more resources.

If children show a particular interest we can follow their lead.

Yes. We have been informed they have the same level of security as banks do. We only hold the essential information we need for your child and you.

Generally no, however if we have a safeguarding concern we are bound by our policies and procedures and must follow the law. This means sometimes we may share your details with relevant authorities. We will never sell your details or pass them onto the general public.

We do pass on information regarding your child to the school they attend or the school they will attend in September.

Yes. All of the school clubs finish at different times, this make it impossible for us to create a system that meets all of the times. We have kept our costs as low as possible so we ask you to book your child into the session their club ends or starts.

Yes, if you are late in collecting your child your child will be in the next time slot and this will be added to your invoice.

If you arrive for your child later than our closing time (even by 1 minute), you will be charged £5 per child, for up to 15 minutes and a further £5 per child for every 15 minutes (or part thereof) afterwards.

We close at 6pm Monday to Thursday (currently 5.30pm on a Friday).
